In 2015 Slowman Design made the decision to go paperless in our office. This meant modernising most of our systems, which may sound like a big undertaking but was actually quite simple. Now we can see the benefits as we've managed to save so much wasted resources, time, effort and of course, money.

99% of our sales and invoicing is completed digitally and only dispatched via email or other online communications. We've also managed to convert our records system into data for backup. Instead of taking notes and minutes by hand, we've made use of handy apps on phones and tablets.

Most suppliers offer paperless billing and statement options too so now we can simply login live, through the suppliers website and pay our bills. No more time spent converting, printing and filing. We've managed to save precious resources and not just on copy paper but on printers, toner, time and energy usage.

The biggest obstacle in going 100% paperless is in the shipping and postage department where we're ankle-deep in manifests and consignment documents most of the time. Some carriers, couriers and shipping methods are available via digital processing which normally includes small shipping labels provided by the collection driver or by the clerk at time of drop-off.

So for all of our student, home-office, startups, SME and corporate friends out there, this wisdom is for you. Go paperless in your office. It's not as hard as you may think and in only a few short months you'll see just how much resources it frees up.

Going paperless made us rethink many other business and office practices which could run more efficiently. At first we thought that switching from paper to digital would require so much extra power usage for charging and having available the mobile devices necessary for the task. However it soon became clear that we were charging and using these devices anyway, for other tasks and usually had plenty of battery left over.

So what about energy saving in the charging process, we asked. Well solar powered chargers (window-mountables), energy efficient portable device chargers and switching desktops to laptops to be run on fully charged batteries when available, made things a lot more efficient around here. We've also setup devices to notify us when the charge is running low so as not to run out and switch off. This way we only charge when necessary and run on battery at every opportunity.

Smart sockets helped us to minimise the time devices and appliances spent on stand by. By shopping around online we managed to find useful power socket adapters which allowed us to remotely switch appliances on/ off, as well as set timers, meter usage and charge mobile devices.

Unfortunately there are yet more efficient ways to achieve what we're aiming for in minimising energy consumption, particularly in the charging process of our mobile devices. We welcome your thoughts and suggestions and encourage you all try to be more energy concious around the office.

Smart Resource Management Made Simple

At Slowman Design we love simple. We think it's pretty smart to keep things simple.
